Terms & Conditions

1. Introduction

Welcome to Square Status. These Terms & Conditions govern your use of our website and services. By accessing our website or working with us, you agree to comply with these terms.


2. Services Offered

Square Status provides the following professional services:

  • Custom website development (including dynamic websites with content management systems)

  • Web application development

  • E-commerce solutions

  • WordPress theme and plugin development

  • Website maintenance and speed optimization

  • On-page SEO (structure-focused)

  • DNS configurations and domain management

  • Email setup and configuration for professional mailboxes (client receives setup documentation; remote support is billed if IT-related)

  • WordPress training (charged per hour)

  • Managed website hosting for both static and dynamic websites

We offer managed hosting services using secure and scalable infrastructure. All hosting services are maintained by Square Status, ensuring performance, security, and uptime. Clients are not required to manage any third-party hosting accounts.


3. Payment Terms

3.1 Monthly Payments (Pay-As-You-Go Policy)

Clients are billed monthly in advance, with payment expected on or before the 28th of each month, unless otherwise agreed in writing. Square Status operates on a pay-as-you-go basis.

In case of non-payment:

  • If the client communicates a delay on or before the due date, services will be paused temporarily and reactivated once payment is made, with no penalty.

  • If the client would like to retain their data (e.g. website, email, files) during this paused period, a monthly data hold fee of R150 applies.

  • If the client chooses to cancel, Square Status will provide all applicable client-owned digital assets (e.g. files, logos, site content) upon request, once any outstanding balances are settled.

  • If no communication is received within 2 days after the due date, services may be suspended, and the client’s data may be flagged for removal.

  • If no payment or contact is received within 5 days, Square Status reserves the right to permanently delete all data, following a final written warning.

We strongly encourage clients to maintain open communication to avoid disruption or loss of data.

3.2 Once-Off Projects

For e-commerce, or web application development:

  • Full payment or a deposit is required upfront before Phase One begins. Deposits only apply to e-commerce and app projects.

  • Web applications may be split into agreed payment phases.

  • If the project is canceled within the first 2–3 days, upfront payments are non-refundable. Partial work may be shared at Square Status’s discretion.

  • Refunds or asset handovers after this period depend on project progress and mutual agreement.

  • Projects placed on hold for more than 7 days without communication or payment may be archived or canceled. Reactivation is not guaranteed unless agreed upon.

  • Partial payments toward larger projects do not entitle the client to a completed product unless outlined in writing. Deliverables will reflect the value of payments received.

  • Clients originally billed under once-off pricing will be required to move to an active hosting or support plan. Legacy pricing will be honored where possible but must align with current packages for ongoing service.


4. Ownership & Rights

Upon full payment and project completion:

  • All website files, assets, and content belong to the client.

  • Square Status retains development credit unless otherwise agreed.

  • If hosting is transferred elsewhere, all files and credentials will be handed over once all fees are fully paid.


5. Domain Policy

All packages that include domain registration cover standard .co.za or .com domains.
Domains considered premium, non-standard, or priced above R260 must be explicitly requested and approved by the client. Any additional cost will be invoiced separately.


6. Service Limitations

We do not engage with:

  • Adult content

  • Illegal, unethical, or misleading projects

  • Scam-related businesses

Square Status reserves the right to reject or terminate projects that conflict with our professional standards.


7. Data Collection & Privacy

Square Status collects personal information only when submitted through our website’s contact forms or communication channels. Client data is:

  • Received via email and stored securely in a private database

  • Used only for internal project or support purposes

  • Never sold, distributed, or shared with third parties without explicit consent

We take all reasonable steps to protect your information.


8. Client Reviews & Testimonials

Upon project completion, we may request a Google review or written testimonial. With client consent, this feedback may be featured on our website or promotional materials.


9. Limitation of Liability

Square Status is not liable for:

  • Downtime or issues caused by third-party platforms or hosting infrastructure

  • Security breaches outside our control

  • Errors caused by client-side edits, unauthorized changes, or third-party plugins/themes


10. Development Approach for Web Applications

At Square Status, we develop web applications tailored to the specific needs of each client. While we may occasionally utilize modern tools (including AI, automation, or code generators) to accelerate development, the final product is custom-developed, refined, and maintained by our team.

All source code, logic, and implementation are considered the intellectual property of Square Status unless otherwise agreed in writing.

  • These assets are provided for the client’s internal use only.

  • Redistribution, resale, or replication is prohibited without written permission.

  • Upon full payment and successful delivery, the client receives usage rights to the delivered application but not ownership of the underlying framework or proprietary code.


11. Changes to Terms

We reserve the right to modify these Terms & Conditions as needed. Clients will be notified of major updates that may affect active services.
